Great Tips to Get Yourself Organized on Your iPad

Another great iPad tip. This article will be talking about simple organizational features of the iPad. This includes moving and deleting apps, making folders and using the Dock which is the app collection at the bottom of the screen. These are all quite fundamentally important things to be able to do on your iPad.

iPad basics. Moving and deleting apps. If you have apps on your screen and you are not sure how to move or delete them, then this is how it is done. Press and hold an app. It will start to shake. You should now see a little cross appear. Just touch the cross and the app will be deleted. Some apps cannot be deleted, they are the ones that were already on your iPad when you bought it. These are apps like mail and calendar and notes as well as a few others. Any bought apps can be deleted. Whilst the app is wobbling, if you don’t want to delete it, you can move it instead. To move an app, you simply slide it when wobbling to where you want it to be, then let go of it. Touching the Home button will then stop the wobbling. If you want the app to be on another screen, then simply slide the app all the way to the edge of the screen, the screen will then move and you are then able to place the app anywhere you want it.

You can make folders on your ipad containing up to twenty apps.
To do this, simply press an app until it wobbles then drag it on top of another app. Try this now and you will see that your iPad creates a folder and your iPad will name it for you. You do have the option of changing the name of the folder. This can be done by pressing and holding the folder until it wobbles, then touch the name. You are now able to edit the folder name. When you want to add apps to a folder, you simply press an app until it wobbles, then drag it over the folder that you want it to be in. It will then appear inside that folder.

Lastly, the Dock. What is the Dock? The Dock is the name given to the collection of apps right at the bottom of the screen. These apps will not move away as you change pages. The intent here is that these are your commonly used apps and so they are always available. You can have up to six apps on the Dock.

We have gone through some important iPad fundamentals here. This information should help you manage everything on your iPad.

Windows Wont Boot – What Can I do?

What will YOU do when Windows Wont Boot?

I’m sure that you like myself, use your computer for many different reasons such as: listening to music, watching movies, checking email, working and more. When Windows won’t boot, it seems as your entire life flashes in front of your eyes!

I have combined six of the most common problems that can cause your computer not to boot. Try these steps whenever you experience this problem with your computer(s):

#1.  Inspect your adapter or power cord - Windows Wont Boot

When Windows wont boot, I always check the power cord located on back of the computer (desktops). When my laptop doesn’t boot, I always look at the power adapter first, To ensure the connection is correct both into the wall, and the cord from the wall plugging into the unit. You may be thinking… “DUH”, but you would not believe the vast majority of people who have non-booting computers simply due to a loose cord! Once you have verified power is flowing into your PC, you can proceed to checking the next thing.

#2.  Inspect your power supply’s voltage switch

Another possibility to troubleshoot when Windows wont boot up, is checking the voltage of the power unit. Power supplies have voltage switches that can be changed to the appropriate voltage for your region of the planet. For instance, here in North America, we used the 115V option, while in Europe and its surrounding areas, you need to use the 230V option.

Believe it or not, I have seen several instances where a customer would contact us to “repair” their computer, only to realize ONE minute after arriving to the person’s location, the voltage switch needs to be changed and nothing else! Always be sure to check that switch either on your power adapter (laptops), or power supply (desktops), before going any further in troubleshooting.

#3.  Are you seeing anything on the monitor?

The first thing you naturally do when troubleshooting a computer problem, is looking at your monitor. Let’s get a little more involved in paying attention to the monitor (or screen), in this case. Do you see anything at all on the monitor or is it “black”? Do you see the “power light” illuminating? Is it blinking? Is it green colored or amber colored?

NOTE: a blinking power light on a monitor indicates several things not limited to: the monitor is either in hibernation/sleep mode, is disconnected from the video output, or has the incorrect resolution set. Would you guess that many people complain that Windows wont boot up, only to find that the monitor was either not powered on, or wasn’t plugged into the computer properly!

In summary, always pay attention to what clues your monitor may be leaving you, when troubleshooting.

#4.  Do you hear or see any fans spinning, or lights blinking?

When you turn on your computer, are any of the fans spinning or even the power light blinking? Does the computer’s hard drive activity light blink to show activity? If you notice no fans spinning, and there is no hard drive movement (which you can either listen for, or check by looking at the disk activity light on the PC), you may have a hardware related issue, or there may be an issue with your power connection (cord/adapter), or your surge protector, or your AC outlet (or a combination of all these).

Before you panic thinking Windows wont boot up, check your power cords first, since they are usually the reason for computers that don’t power up successfully. When your PC has no fan movement, is making no sounds, and otherwise won’t boot; there is a hardware issue that should be inspected by a professional or experienced technician to avoid further damage.

#5.  Pay close attention to (pretty loud) beeping sounds

When Windows Wont Boot and you have problems with your computer that is detected by the BIOS (Basic Input Output System), there will be a series of beeping sounds, immediately after turning on your PC. You might see a black screen on your computer along with the beeping sounds when you try to power up the computer. Beep codes vary in the intervals and duration of the beeping, but any beeping sounds that doesn’t occur normally (such as a quick beep upon booting), that ALWAYS spells a hardware issue that needs to be addressed.

Common reasons for hearing these beeps can consist of (but isn’t limited to):

  • Bad memory (RAM)
  • An overheating computer
  • A processor (CPU) that is going bad or has already failed
  • Incompatible BIOS settings (Setup Menu settings)
  • Add-on card(s) (PCI card) needing to be connected tighter (video cards)

A general rule of thumb is to stay tuned to any beeping when you power up your computer. You will only hear the “problem beeps” when a problem exists that needs to be fixed, so make sure that you don’t throw away or misplace your computer owner’s manual (or motherboard owner’s manual); it will come in handy when you need help figuring out those dreaded beeps!

#6.  Does your computer power on but doesn’t load Windows successfully

Shortly after turning on your computer, do you see a logo at all? Computers all go through a POST; also know as a Power On Self Test, when they are booted. At this stage, a computer detects all of the hardware needed to function, as well as other checks to ensure proper operation. During POST, you can usually just see a logo and text on the screen, usually in multiple colors or white. If you get to this screen, your computer is at least booting – CONGRATS! There are ways to fix boot errors by using POST to diagnose the problem.

If your PC doesn’t get past the POST screen, and either gets “caught” before, after or during the Windows logo showing, it has booted but Windows hasn’t loaded. If your computer restarts, shuts down, freezes on a black or gray screen, or BSODs (blue screens), your problem is software (Windows) related, and not necessarily hardware related. When a computer has a software problem, it can usually be fixed by an experienced person, without the need to order expensive hardware.

Did you know that if you have a Windows Vista or Windows 7 installation disc and Windows will not start at all, you can run “start-up repair” if you experience this problem? Also, if you have Windows XP, there is a “repair installation” function that will allow you to easily repair your computer to load Windows successfully! If you don’t have the installation disc for your operating system, you can either borrow one or let an experienced person take a look at it to decipher the problem.

Please be aware that virus and other malware infecting your computer can cause this issue.

10 Tips on How to Speed up your Computer

Now tell me: How do you feel when you have a pressing task to complete and your computer just doesn’t seem to understand that you are under pressure?  Have you noticed how frustrating it gets when you have a slow computer? Some people get frustrated to the point of doing something drastic! Some go as far as throwing the computer out the window or using a hammer on it or smashing it with their elbow. Personally, at a time I got so mad i used my fist on my computer. Hey, but calm down! I have to tell you this. It’s our fault that our computer is slow; this is because we do not perform computer maintenance on it. It is our responsibility to speed up our computer and make it run at its optimal performance. Now, I will share with you 10 tips on how to speed up your computer.

Tip 1: Delete unwanted files

When I say to delete unwanted files, I do not mean you should go around your computer and delete any file you do not want. In this case, I’m talking about the files that you have created yourself, and are totally aware of what they are. For example if you created a Microsoft word document and you no longer need it, and never will, then I suggest you delete that file. This is the kind of junk that clogs up your computer.

Tip 2: Delete hidden junk files

Hidden or temporary files are created without the user knowing. When you open files, browse the Internet, and install programs, more files are created in the background. There is so much happening in the background that most people are unaware of and do not know that this area exists.

Tip 3: Remove unwanted programs

Are you one of those people that constantly download programs and install them onto your computer? Every software program you have on your computer is taking up space. Not only is it taking up space, but it might also be checking for updates and connecting to the Internet. It also might be starting up when your computer starts up.

So, after you have removed the software program that you do not want, make sure you restart your computer to complete the process.

Tip 4: Defrag to speed up your computer

When you install programs and save files on your computer, the files are automatically saved to the closest available space on your hard drive. This means that files for your programs are fragmented if your hard disk drive is not organized correctly. This is why we need to de-frag our computer to place the files back together and to place the most frequently used files at the front for easy access.

 Tip 5: Disk CleanUp

Disk CleanUp comes free with Windows and will get rid of the rest of the junk files that you have missed. Go to start menu>accessories>system tools>disk cleanup. You can see more information about this system tool on our blog.

Tip 6: Always pay for a virus program!

By all means, you can waste your time trying to find the best free anti-virus program, but do you really want to risk it.

Don’t get me wrong there is nothing wrong with a free anti-virus program. In fact I will recommend Avast as my number one freebie. However, even though this proved to be secure, it is safer to have the extra security features that come with the paid versions.

If you do not have a virus program installed you are risking everything! Sometimes your computer will gradually slow down when it gets a virus, and other times it will be crashing within minutes. Is that really worth the hassle?

Tip 7: Avoid multitasking with large programs

If you’re anything like me, you will have 20 Windows open at the same time, with your Internet browser having at least 15 tabs opened as well. Yes I know it is crazy and I’m trying to reform. I have a lot of experience in multitasking and have realized that some programs cannot be open at the same time as others. For example you should not be running a large program like Photoshop or Pinnacle video studio, while running a virus scan at the same time. We all know what the right thing to do is, but we just can’t help ourselves.

Tip 8: Use an external hard drive for backup

Nowadays there is no excuse for not backing up your files! It is unbelievably cheap to buy an external hard drive or even a portable USB flash drive to store backup files on. Both these portable devices are simple to connect to the computer via a USB plug. You can use these devices to store all of your files, leaving your computer clean and free to work on.

 Tip 9: Update programs regularly

Every program on your computer must be updated regularly. If you do not do this, you will find that you will have problems, that’s for sure! Even Windows itself needs updating, along with any other applications and games, and even hidden device driver software.

To see if your device drivers are performing properly you can go to the Control Panel, click on system, advanced settings, and then you will find device manager under the hardware tab.

Most computers need a program like this because having outdated driver software on your computer can cause horrendous problems. And having the wrong driver software on your computer has been known to cause black screens, blue screens, and total computer crashes.

Tip 10: Upgrade your computer memory

When you buy a new computer nowadays it should come with a minimum of 2 GB of memory installed. This should be okay for a year or two, however as times change, you will eventually need to upgrade your memory.

Older computers are in an even worse situation. People are using old computers to do new things that these computers were not made for. Upgrading your computer memory and increasing your hard drive size can help speed up an old computer.

When upgrading your computer memory in order to speed up your computer, there are two options, to do it yourself or get someone else to do it for you.

Online Advertising Methods

More and more innovative types of advertising are coming into existence as the Web matures, so this is not meant to be an exhaustive list. However, it covers all the main types of advertising in use today.

1. Text ads
Advertisements displayed as simple, text-based hyperlinks. As their name suggests, text ads do not include graphic images.

2. Pop-Up Ads
these ads appear to “pop up” in a new window as you browse a website. They actually get your attention, but it is sometimes annoying because they offer a lot of distraction

3. Flash / DHTML Ads
These kinds of ads incorporate Flash animation or other motion graphics. They may be animated display ads in more traditional shapes and sizes, or, as of late, they can be sophisticated ads that function similarly to pop-up ads but with much deeper integration into the overall design of the site.

4. Interstitial Ads
Interstitial ads are full page ads that appear between web pages that the user requests. For example, an interstitial ad may appear after you click on a link to visit another page on the website. Just before the page is loaded, an ad appears. On this ad, you will also find a link that takes you to your destination webpage.

5. Video Ads
With the popularity of online video watching, video ads have become a viable means of distributing rich advertising content. Currently video ads can either be content created entirely by the advertiser, or “in video” ads that will show your ad within a video. While watching a video on YouTube, you will notice some ads being served just below the screen.

6. Email Ads (Classified Ads & Newsletter Advertising)
Ads that are distributed by a publisher through email blasts to opt-in audiences are known as email ads. Advertisers can individually sponsor a publisher’s email newsletter or they can purchase classified ad space.

7. Display Ads
Graphical advertisements featured on websites are known as Display Ads. Display ads are often available in many standard shapes and sizes, including: banners, leader boards, skyscrapers, large boxes, and other sized graphical ads. Display ads use eye-catching visuals to quickly grab the attention of website visitors browsing the pages on which they are featured.

What tablet is right for you?

Tablets are taking the computing world by storm. They are the latest trend that gives you internet capabilities, access to email, video chat and allows you to capture images and video while on the go.

Here are a few reasons why most people are dumping their laptops for tablet devices:

Portability

Tablets are lightweight and relatively easy to carry around. Reaching for a tablet to browse the Web is much easier than getting up, going to your desk, and booting up your computer. Even laptops, which are supposed to be mobile devices, can take a while to start, and they often get uncomfortably hot after a short period of use.

Productivity

You can respond to requests very fast. You can reply emails, you can study work materials. In fact, a tablet is your virtual office.

Battery Life

In comparison with a laptop, tablets have superior battery life. Your laptop can go for averagely 2.5 hours before you have to plug it in, whereas you can get almost a full day’s use, about 10 hours out of a tablet.

Entertainment

Tablets are great for entertainment. Since a tablet is basically just a large screen, it’s a stellar device for watching movies and TV shows.

Using the built-in cameras, you can capture images at a moment’s notice or even communicate via video chat with anyone around the world.

Simply put, individuals can as well play while they work.

While choosing a tablet what should you look out for?

When deciding which tablet is best for you, consider what you’ll use it for.

Let’s compare the two most popular tablets(as of now); Apples iPad 2 and Samsung’s Galaxy Tab 10.1

Comparison between Apples iPad 2 and Samsung’s Galaxy Tab 10.1

Rear camera 0.7 MP 3 MP. LED flash, autofocus, geotagging Galaxy tab

Now, one would easily conclude that the Galaxy Tab outshines the iPad 2, however, there’s a unique feature of iPad i haven’t talked about. The iCloud! iCloud stores your music, photos, documents, and more and wirelessly pushes them to all your devices.

Features of the iCloud

Photo Stream : Snap. And it’s everywhere.

With Photo Stream, you can take a photo on one iOS device and it automatically appears on all your other devices, including your Mac or PC. Import new pictures to your computer from a digital camera, and iCloud sends copies over Wi-Fi to your iPhone, iPad, and iPod touch. You can even view recent photos on your big-screen TV via Apple TV.

Documents in the Cloud

And now with iCloud, you can keep your work up to date across all your iOS devices. You don’t have to save your work or transfer any files. Your documents — with all your latest edits — automatically appear everywhere. Start here. Finish there.

iBooks : All your devices are on the same page.

Buy a new book from the iBookstore, and iCloud makes sure it appears everywhere — your iPhone, iPad, and iPod touch. So if you have to put it down, you can pick it back up on another device, in exactly the same place.

Fantastic! Isn’t it?

Now,  the question- ‘ What tablet is right for you?’ Apple’s iPad 2 ? Or Samsung’s Galaxy tab 10.1?

Now you know the fantastic features both tablets possess. The decision, therefore, lies with you!

Savings on your Blackberry Subscription – Email Forwarding

Now, tell me. Were you as excited as I was when blackberry service providers in Nigeria announced a reduction in the rate for blackberry subscription? I tell you, I was overjoyed! On one network, subscribers enjoyed as much as 53% discount on Blackberry subscription, while some others enjoyed about 50%. But sadly enough, some of the providers did not disclose to us that the ‘freebie’ had limitations. One of which is that you can have only one email account configured on your device.

With this, some persons said, ‘Well, I want access to all my email accounts, and if I can’t have that with the reduced tariff, then I will continue paying the full subscription’. Some others said, ‘I want to cut down on my expenses. I don’t mind having one email account; I can access my other emails at work’

However, there’s a way to get around this! You can have access to all your emails even with the least blackberry subscription plan. The secret is: Email Forwarding.

Email forwarding involves passing email along from one address to another. So with email forwarding, you can converge all your emails to deliver to one account.

For instance, I have about 3 different email accounts: my corporate email account, a gmail account, and a yahoo mail account. Since my corporate email is more important to me, I configured it on my blackberry device. Then on my Gmail (Email settings), I specified that for all mails sent to my Gmail, a copy should be sent to my corporate email account.

Afterwards, I went to my yahoo mail options. But I discovered that the Email forwarding feature was available only to individuals on Yahoo Mail Plus. Since I was operating the Free Basic version, I had to upgrade to Yahoo Mail Plus. To do this I paid an annual fee of $20 only. Then I specified that, for every mail sent to my yahoo account, a copy should be forwarded to my corporate email.

I started receiving all my emails from all three mail accounts. Everything seemed fine, but then,  I had a big challenge!

Junk emails sent to my public mailboxes also hit my corporate email. So I had to figure a way to rectify the issue. I used the Email Filter feature on Gmail and Yahoo Mail. That way, I specified some criteria for the emails I want forwarded to my corporate email.  That solved it. Only emails that matched the specified criteria were forwarded. With this feature, I stopped my email accounts from forwarding junk/spam or non- work-related emails to my corporate email account.

That done, I save on my BB subscription, while enjoying the benefits of a full subscription!

Web Presence for SMBs Pt. 3 – Email Communication

It is amazing to find that in this day and age, some companies have still not realized how important their email communications are. Many companies send email replies late or not at all, or send replies that do not actually answer the questions you asked. If your company is able to deal professionally with email, this will provide your company with that all important competitive edge.

Why do you need email etiquette?

A company needs to implement etiquette rules for the following three reasons:

Professionalism: by using proper email language your company will convey a professional image.
Efficiency: emails that get to the point are much more effective than poorly worded emails.
Protection from liability: employee awareness of email risks will protect your company from costly law suits.

What are the etiquette rules?

There are many etiquette guides and many different etiquette rules. Some rules will differ according to the nature of your business and the corporate culture. Below we list what we consider as the 32 most important email etiquette rules that apply to nearly all companies.

1. Be concise and to the point.

Do not make an e-mail longer than it needs to be. Remember that reading an e-mail is harder than reading printed communications and a long e-mail can be very discouraging to read.

2. Answer all questions, and pre-empt further questions.

An email reply must answer all questions, and pre-empt further questions – If you do not answer all the questions in the original email, you will receive further e-mails regarding the unanswered questions, which will not only waste your time and your customer’s time but also cause considerable frustration. Moreover, if you are able to pre-empt relevant questions, your customer will be grateful and impressed with your efficient and thoughtful customer service. Imagine for instance that a customer sends you an email asking which credit cards you accept. Instead of just listing the credit card types, you can guess that their next question will be about how they can order, so you also include some order information and a URL to your order page. Customers will definitely appreciate this.

3. Use proper spelling, grammar & punctuation.

This is not only important because improper spelling, grammar and punctuation give a bad impression of your company, it is also important for conveying the message properly. E-mails with no full stops or commas are difficult to read and can sometimes even change the meaning of the text. And, if your program has a spell checking option, why not use it?

4. Make it personal.

Not only should the e-mail be personally addressed, it should also include personal i.e. customized content. For this reason auto replies are usually not very effective. However, templates can be used effectively in this way, see next tip.

5. Use templates for frequently used responses.

Some questions you get over and over again, such as directions to your office or how to subscribe to your newsletter. Save these texts as response templates and paste these into your message when you need them. You can save your templates in a Word document, or use pre-formatted emails. Even better is a tool such as ReplyMate for Outlook (allows you to use 10 templates for free).

6. Answer swiftly.

Customers send an e-mail because they wish to receive a quick response. If they did not want a quick response they would send a letter or a fax. Therefore, each e-mail should be replied to within at least 24 hours, and preferably within the same working day. If the email is complicated, just send an email back saying that you have received it and that you will get back to them. This will put the customer’s mind at rest and usually customers will then be very patient!

7. Do not attach unnecessary files.

By sending large attachments you can annoy customers and even bring down their e-mail system. Wherever possible try to compress attachments and only send attachments when they are productive. Moreover, you need to have a good virus scanner in place since your customers will not be very happy if you send them documents full of viruses!

8. Use proper structure & layout.

Since reading from a screen is more difficult than reading from paper, the structure and lay out is very important for e-mail messages. Use short paragraphs and blank lines between each paragraph. When making points, number them or mark each point as separate to keep the overview.

9. Do not overuse the high priority option.

We all know the story of the boy who cried wolf. If you overuse the high priority option, it will lose its function when you really need it. Moreover, even if a mail has high priority, your message will come across as slightly aggressive if you flag it as ‘high priority’.

10. Do not write in CAPITALS.

IF YOU WRITE IN CAPITALS IT SEEMS AS IF YOU ARE SHOUTING. This can be highly annoying and might trigger an unwanted response in the form of a flame mail. Therefore, try not to send any email text in capitals.

11. Don’t leave out the message thread.

When you reply to an email, you must include the original mail in your reply, in other words click ‘Reply’, instead of ‘New Mail’. Some people say that you must remove the previous message since this has already been sent and is therefore unnecessary. However, I could not agree less. If you receive many emails you obviously cannot remember each individual email. This means that a ‘threadless email’ will not provide enough information and you will have to spend a frustratingly long time to find out the context of the email in order to deal with it. Leaving the thread might take a fraction longer in download time, but it will save the recipient much more time and frustration in looking for the related emails in their inbox!

12. Add disclaimers to your emails.

It is important to add disclaimers to your internal and external mails, since this can help protect your company from liability. Consider the following scenario: an employee accidentally forwards a virus to a customer by email. The customer decides to sue your company for damages. If you add a disclaimer at the bottom of every external mail, saying that the recipient must check each email for viruses and that it cannot be held liable for any transmitted viruses, this will surely be of help to you in court. Another example: an employee sues the company for allowing a racist email to circulate the office. If your company has an email policy in place and adds an email disclaimer to every mail that states that employees are expressly required not to make defamatory statements, you have a good case of proving that the company did everything it could to prevent offensive emails.

13. Read the email before you send it.

A lot of people don’t bother to read an email before they send it out, as can be seen from the many spelling and grammar mistakes contained in emails. Apart from this, reading your email through the eyes of the recipient will help you send a more effective message and avoid misunderstandings and inappropriate comments.

14. Do not overuse Reply to All.

Only use Reply to All if you really need your message to be seen by each person who received the original message.

15. Mailings > use the Bcc: field or do a mail merge.

When sending an email mailing, some people place all the email addresses in the To: field. There are two drawbacks to this practice: (1) the recipient knows that you have sent the same message to a large number of recipients, and (2) you are publicizing someone else’s email address without their permission. One way to get round this is to place all addresses in the Bcc: field. However, the recipient will only see the address from the To: field in their email, so if this was empty, the To: field will be blank and this might look like spamming. You could include the mailing list email address in the To: field, or even better, if you have Microsoft Outlook and Word you can do a mail merge and create one message for each recipient. A mail merge also allows you to use fields in the message so that you can for instance address each recipient personally. For more information on how to do a Word mail merge, consult the Help in Word.

16. Take care with abbreviations and emoticons.

In business emails, try not to use abbreviations such as BTW (by the way) and LOL (laugh out loud). The recipient might not be aware of the meanings of the abbreviations and in business emails these are generally not appropriate. The same goes for emoticons, such as the smiley :-) . If you are not sure whether your recipient knows what it means, it is better not to use it.

17. Be careful with formatting.

Remember that when you use formatting in your emails, the sender might not be able to view formatting, or might see different fonts than you had intended. When using colors, use a color that is easy to read on the background.

18. Take care with rich text and HTML messages.

Be aware that when you send an email in rich text or HTML format, the sender might only be able to receive plain text emails. If this is the case, the recipient will receive your message as a .txt attachment. Most email clients however, including Microsoft Outlook, are able to receive HTML and rich text messages.

19. Do not forward chain letters.

Do not forward chain letters. We can safely say that all of them are hoaxes. Just delete the letters as soon as you receive them.

20. Do not request delivery and read receipts.

This will almost always annoy your recipient before he or she has even read your message. Besides, it usually does not work anyway since the recipient could have blocked that function, or his/her software might not support it, so what is the use of using it? If you want to know whether an email was received it is better to ask the recipient to let you know if it was received.

21. Do not ask to recall a message.

Biggest chances are that your message has already been delivered and read. A recall request would look very silly in that case wouldn’t it? It is better just to send an email to say that you have made a mistake. This will look much more honest than trying to recall a message.

22. Do not copy a message or attachment without permission.

Do not copy a message or attachment belonging to another user without permission of the originator. If you do not ask permission first, you might be infringing on copyright laws.

23. Do not use email to discuss confidential information.

Sending an email is like sending a postcard. If you don’t want your email to be displayed on a bulletin board, don’t send it. Moreover, never make any libelous, sexist or racially discriminating comments in emails, even if they are meant to be a joke.

24. Use a meaningful subject.

Try to use a subject that is meaningful to the recipient as well as yourself. For instance, when you send an email to a company requesting information about a product, it is better to mention the actual name of the product, e.g. ‘Product A information’ than to just say ‘product information’ or the company’s name in the subject.

25. Use active instead of passive.

Try to use the active voice of a verb wherever possible. For instance, ‘We will process your order today’, sounds better than ‘Your order will be processed today’. The first sounds more personal, whereas the latter, especially when used frequently, sounds unnecessarily formal.

26. Avoid using URGENT and IMPORTANT.

Even more so than the high-priority option, you must at all times try to avoid these types of words in an email or subject line. Only use this if it is a really, really urgent or important message.

27. Avoid long sentences.

Try to keep your sentences to a maximum of 15-20 words. Email is meant to be a quick medium and requires a different kind of writing than letters. Also take care not to send emails that are too long. If a person receives an email that looks like a dissertation, chances are that they will not even attempt to read it!

28. Don’t send or forward emails containing libelous, defamatory, offensive, racist or obscene remarks.

By sending or even just forwarding one libelous, or offensive remark in an email, you and your company can face court cases resulting in multi-million dollar penalties.

29. Don’t forward virus hoaxes and chain letters.

If you receive an email message warning you of a new unstoppable virus that will immediately delete everything from your computer, this is most probably a hoax. By forwarding hoaxes you use valuable bandwidth and sometimes virus hoaxes contain viruses themselves, by attaching a so-called file that will stop the dangerous virus. The same goes for chain letters that promise incredible riches or ask your help for a charitable cause. Even if the content seems to be bona fide, the senders are usually not. Since it is impossible to find out whether a chain letter is real or not, the best place for it is the recycle bin.

30. Keep your language gender neutral.

In this day and age, avoid using sexist language such as: ‘The user should add a signature by configuring his email program’. Apart from using he/she, you can also use the neutral gender: ”The user should add a signature by configuring the email program’.

31. Don’t reply to spam.

By replying to spam or by unsubscribing, you are confirming that your email address is ‘live’. Confirming this will only generate even more spam. Therefore, just hit the delete button or use email software to remove spam automatically.

32. Use cc: field sparingly.

Try not to use the cc: field unless the recipient in the cc: field knows why they are receiving a copy of the message. Using the cc: field can be confusing since the recipients might not know who is supposed to act on the message. Also, when responding to a cc: message, should you include the other recipient in the cc: field as well? This will depend on the situation. In general, do not include the person in the cc: field unless you have a particular reason for wanting this person to see your response. Again, make sure that this person will know why they are receiving a copy.

Web Presence for SMBs – Pt. 2

In our last blog on Web Presence for SMBs -Pt 1, we highlighted the many benefits of not just having a website, but  having a professional looking/ well-designed website for your business. However, to achieve this, you need to  be guided on some factors.

Domain name: Domain name is a unique name that identifies your business on the internet. As no two people have the same phone number, so no two businesses are allowed to have the same domain name.

While choosing a domain name, you must ensure that: it is coined out of your business name, it is short, easy to pronounce, remember, and spell.

Hosting: Now you have your domain name. You need to find a reliable host for your website. I can recommend Hostgator (we are using them now and they are reliable). There are other hosting companies like iPage, justhost, webhostinghub, and many others. These web hosting companies have different hosting plans: Shared web hosting and dedicated web hosting.

Shared webhosting  is run in a certain way that makes it possible for different clients to share the same web server. Shared hosting is very affordable, but you must be sure that the hosting package supports what you need, scripting languages, applications, control panel, etc

Dedicated hosting is more sophisticated. In dedicated hosting, you are allowed to rent an entire server and use it all by yourself. You are also given access to all the resource, giving you the ability to host more than one website.

Website Outlay

Professional logo; a professional looking logo is an absolute MUST! Not only will it give your site a professional appearance, but it will also enable your visitors to recognize your brand. your logo should be displayed at the top left corner of your website.

About Page: An “About” page is an essential part of a professional website. Your potential customers want to know exactly who you are. Be sure to include all the following: Mission statement, Vision statement, corporate philosophy, and other details that describe your business. This is very important, especially if you are selling a product or service. You must do everything in your power to put your visitors’ minds at ease.

Theme-based content: Your website should focus on a specific subject, and provide a variety of information that related to that subject. Talk about the benefits of your products to your customers. If you are dealing on cars, talk about the specifications and features. You can encourage your clients to submit a review on your product.

Email capture:You must take every opportunity to capture your visitors’ email addresses. Encourage them to subscribe to your newsletter. You could promise them a reward for subscribing.

Privacy Policy: After you have gathered these emails, what do you do with them? Internet users are becoming more and more concerned with their privacy.

so, you need to create a page on your website called ‘Privacy’ and let your visitors know exactly how you will be using the informtion you collect.

Feedback and Testimonials:Many times, potential customers will have questions about your product and services. Instead of displaying an email address on your website, consider using a feedback form

What are your customers saying about your business? Did they have a good experience when they patronised you? Get them to talk about it !

These are just a few components of a professional-looking website and is not exhaustive.

Web Presence for SMBs – Pt. 1

“My business is very small, just me and two employees, and our product really can’t be sold online. Do i really need a website?”

Big question!

I will share a quote from Bill Gates, the Chairman of Microsoft, “Soon, there will only be two kinds of businesses: those online, and those out of business”

In the internet age, there’s no greater risk than being left behind. So should your business have a website, even if your business is small and sells products and services you don’t think can be sold online?

Nowadays, there’s hardly any product or service that can’t be sold online as  about 40% of consumers search for information on products and services before they make buying decisons.

However, it is not enough to just have a website. You must have a professional looking website. your website is the first impression a new potential internet consumer will get.

Benefits of having a well designed website.

  • It saves you time and money. Your website will always be available 24/7. You can publish all information about your business on your website and that reduces or eliminates the cost of printing handbills and brochures.
  • A well designed website  will help you sell more. Your website will always be accessible when your customers need product information. That way, you can make money even while sleeping.
  • with a website, your business can be listed  in various online business directories like Google trader, eBay, Alibaba, etc
  • A well designed website will make your business appear more professional and more trustworthy before your potential customers.Trisat has attracted international patronage because of our well designed and professional looking website.

What type of website is suitable for my business?

There are basically two types of websites:

Static Websites: This is the simplest form of website. A static website contains Web pages with fixed content. Each page is coded in HTML and displays the same information to every visitor. They do not require any programming or database design. They are good for businesses that just want to provide information on their products and services. They are more or less like a billboard or brochure.

Dynamic websites: Dynamic web pages are the pages that change dynamically. Dynamic web pages can change every time when they are loaded without making any changes. Dynamic web pages can also change their content based on what user does, like clicking on some text or an image. If the information stored in the database changes, the web page connected to the database change accordingly and automatically without human intervention. Dynamic websites are suitable for businesses that make a lot of changes to their content.

In this internet age, there’s no greater risk than being left behind!

What Career Path is Right for Me?

Each year thousands of people, people just like you, decide to make a career change into IT. Some start by taking classes or pursuing certification, others venture into the unknown by blindly replying to job openings on the Internet or in the local newspaper.

But IT is an industry just like any other: Saying that you are looking for a job in IT is like saying that you want a job in construction, or banking, or insurance, or any other industry. IT offers a range of positions that vary in their requirements, duties, and (ultimately) pay.

However, a survey conducted by Computer world on 300 I.T Executives revealed the skills that will be in top demand in 2012. We will talk about these skills and the prerequisite courses and certifications they require.

Networking

The basis of networking is to connect devices together to enable them share resources. There are different types of networks: Local Area Network (LAN), Wide Area Network (WAN), Metropolitan Area Network (MAN), and many others. The bigger the size of a network, the more complex it is.

However, the most sought after skill in networking is Virtualisation. Virtualisation lets you run multiple virtual machines on a single physical machine.

Courses: Cisco Certified Network Associate (CCNA), CompTIA N+, MikroTIK MTCNA, Microsoft Windows Server

Security

Recently, a hack team called Evil Shadow hacked Microsoft’s Indian web store and had access to customers’ passwords. And last year, another case of security breach was recorded: Sony’s PlayStation was hacked and the hackers had access to personal and credit card details of over 1 million people.

This goes to prove that security is a major concern for business executives, and hiring or investing in security experts will attract many nods in board meetings.

Courses: CCNA Security, CCSP, CCIE Security, RedHat Ethical Hacking, Wireless Security

Programming and Applications Development

Here’s a quote from Mark Templeton, CEO, Citrix, ” Three simple words are changing the world: Whatever, Wherever, Whenever”. The trend is shifting from laptops and desktops to mobile devices. Many programs and applications have been designed to run on these devices. There’s no gainsaying that this is a huge and evolving market.

Courses: Visual Basic, PHP, Java, C++, C#, and Python.

Data Center Management

You can’t talk about Data Center Management without talking about Cloud Computing which enables internet users to access information over the internet without necessarily installing a software. Simple examles are Yahoo! mail, Google mail, and even Facebook and Twitter! These services run on various stacks of physical and virtualized servers. Where all these servers are housed is known as a Data Center. So, professionals with backgrounds in Virtualization, Server Consolidation, and Systems Integration are  in high demand.

Courses: VMware, Citrix, Net APP and more

Web 2.0 Skills

Web 2.0 describes a regeneration of the World Wide Web and focuses on the ability for people to collaborate and share information online. The trend has shifted from just web pages to a more dynamic and interactive platform. Let’s use Facebook as a case study, there’s a whole lot of programs and applications running at the backend that produces the interactive and dynamic frontend.

Courses: Java, .Net, and others

Telecommunications

I am particularly interested in IP telephony, popularly known as Voice over Internet Protocol (VoIP). IP telephony is a technology that enables you make voice calls over the internet. This technology is used by Yahoo! Voice and Skype. This is a cost-saving technology for Small and Mid-sized Businesses (SMBs). There are so many fantastic features in the IP telephony system (These will be highlighted when we discuss cost-saving solutions for SMBs)

Courses: VoIP, CCNA Voice

Project Management

Business executives are on the look out for people who can oversee and monitor projects, identify users’ needs and translate them for the IT staffers-the increasingly popular business analysts.

Courses: Project Management, MS Project

Business Intelligence

Business Intelligence experts are IT professionals who merge their knowledge on ICT with business processes. There are a few case studies:

  1. Recently, DSTV, a cable TV network, introduced an advanced customer service platform on which subscribers can pay for their subscription online and then send an sms to a short code messaging service, and viola! Your subscription is reactivated.
  2. The Quick Teller platform enables you purchase your call cards, pay your PHCN bills and airfares online.

Top IT Skills Wanted for 2012

Nearly 29 percent of the 353 IT executives who were polled in Computerworld’s annual Forecast survey said they plan to increase IT staffing through next summer. (That’s up from 23% in the 2010 survey and 20% in the 2009 survey.)

Here are the skills that the IT executives say they will be hiring for:

  1. Programming and Application Development–61% plan to hire for this skill in the next 12 months, up from 44% in the 2010 survey. This covers the gamut from website development to upgrading internal systems and meeting the needs of mobile users.
  2. Project Management (but with a twist)– The twist is that they’re not going to just be looking for people who can oversee and monitor projects. They also want people who can identify users’ needs and translate them for the IT staffers-the increasingly popular business analysts.
  3. Help Desk/Technical Support–Mobile operating systems have added a new dimension to help desk and tech support.
  4. Networking-This demand is being fueled partially by virtualization and cloud computing projects. The survey also revealed that execs will be looking for people with VMware and Citrix experience.
  5. Business Intelligence-Computerworld interprets this uptick to a focus shift in many companies,  from cost savings to investing in technology. That will be nice if it pans out that way.
  6. Data Center-Virtualization and the Cloud could also be behind the increased need for IT professionals with backgrounds in data center operations and systems integration.
  7. Web 2.0-Tech skills centered around social media will be in demand, with .Net, AJAX and PHP as key back-end skills, with HTML, XML, CSS, Flash and Javascript, among others, on the front end.
  8. Security-Although down from 32 percent in the 2010 survey, security stays a top concern of IT executives.
  9. Telecommunications-The survey indicates a demand for people with IP telephony skills, and for those familiar with Cisco IPCC call center systems.
